I once had to facilitate
an insane session.

I was invited to an international conference organised by World Cleanup Day. They had gathered a lot of data about the trash in the world and now they wanted ideas and concepts, what could be done with this data, how to put it into good use towards a clean earth.

So they wanted me to run a session where people would think about how to best utilize this data. The problem was, on one session there would be 50 people participating. And the session was planned to be only one hour long. And they wanted me to run it twice in a row. For different sets of people. Opportunity to fail twice :).

Since the participants were all super enthusiastic earth-cleaning enthusiasts, I imagined what kind of crazy “everyone talking, not getting anywhere” nightmare would wait for me if I didn’t figure something out.

So I pulled out my meeting and workshop planning framework that had saved me from crazy sessions like this before. I used many methods and principles in it to create a plan for this 50 people idea-fest and with a slight anxiety I entered the conference premises. It was after all the biggest co-working session I had ever facilitated.

People started gathering and I felt my anxiety rising, but I stayed firm, since I trusted my system. It had never failed me.

So I started the session. We went through the plan one step at a time and something really awesome happened – it worked.

And the results?

By the end of the workshop, I felt a sense of accomplishment. The framework helped me achieve two main objectives. Firstly, we successfully maintained engagement and focus throughout, a challenging feat, especially with a group of this size. Secondly, we generated ideas that proved genuinely valuable for the World Cleanup Day organization—no aimless discussions, just concrete, actionable ideas. This experience taught me that with the right structure and effective methods, no workshop is too large or too ambitious.
